How does Google Sheets Timeline Template work?
Firstly, all is automated for you. Thus, all you have to do is just list your tasks or events, and then navigate through different timeline views.
Basically, the template consists of three sections:
- Menu with Settings and Navigation buttons
- Task List
- Timeline Views: Daily, Weekly, Monthly, Quarterly, Yearly
Let’s see them closely.
1. Menu
Firstly, on the right part of your first sheet, you’ll see settings and navigation buttons.
So, you can change the status dropdown options. Also, your timeline colors will reflect the Status selected here.
And, the second Show Tasks by option is a very handy option. If you want to see your tasks only by name, just select the Task Name. However, if you also want to see the priority of your tasks, then you can select Task Name – Priority option.
Thus, with these settings, you can customize your timelines.
2. Task List of Google Sheets Timeline Template
So, this is the main input area of your template.
Then, you’ll list your tasks or events by:
- Group
- Task name
- Priority
- Start Date
- Due Date
- Status
Firstly, the Groups will help you better understand the stage of each task. And this grouping is directly reflecting on the timelines with separating line.
Secondly, the Task Name and optionally the Priority are visible on the timeline bars, looking like a Gantt chart view.
Then , the Start and Due dates will be used to calculate the place and length of your bars. So, this might be the most crucial part of your data.
Lastly, you can select the Status of each task from the dropdown menu. Also, these colors are references as the bar colors on the timelines. So, with this google sheets timeline template, you can easily understand the Status of the tasks at a glance: Not Started, In-Progress or Completed. Plus, if you do not select any Status for a particular task, it will be displayed in gray bars.
*NOTE: This Google Sheets Timeline Template will allow up to 1.000 tasks or events under different groups.
So, that’s all for the data input.
3. Timelines
Now, it’s time to analyze your project status on the timeline or gantt views. So, you’ll see navigation buttons on the right-side of your template, which will bring you to the different timelines:
Therefore, once you input your tasks list, the google sheets template automatically creates:
- Daily Timeline
- Weekly Timeline
- Monthly Timeline
- Quarterly Timeline
- Yearly Timeline
So, any change on your list will be immediately reflected on all of these timelines.
